How deep shall we go?

Same system. Three depths.

Five questions, when it matters

  • Who received it?
  • When?
  • Which version of the document?
  • Did they accept or sign it?
  • If there is a dispute in six months, is there proof?

These are not questions to start answering only once you need the answers.

The life of a document

  1. It is created

From the data you already have, not retyped. The data it needs goes into the document automatically.

  2. They receive it

The employee receives it and sees what they need to do with it.

  3. They accept or sign it

With a one-time code, or with an official signature if the document requires it.

  4. Both sides receive it

The document and the proof of acceptance go into the digital personnel file together.

  5. It stays retrievable

Not across emails and file names, but in one place.

For the employee it is a simple process. In the background, though, it stays on record what happened, when, and with which document.

For the employee, a list. For the company, proof.

Employee signing inbox: documents to sign, with status and deadline.
The employee sees what is waiting. HR sees what has been completed.

And if it is ever needed later, the document's history can be retrieved too.

Not just stored

With the QR code and trail attached to the document, you can check later which document it is and what happened to it.

If a stronger signature is needed, the process can be taken there too — without anything getting more complicated on the employee's side.

On the employee's side the essence stays the same: receive it → do it → done.

No printing the document never leaves the process
No scanning acceptance happens where the document is
Less chasing the status is visible, no need to ask
At a pharmaceutical manufacturer 1,000+ people

new hires join paper-free, with proof.

At an electronics manufacturer 500+ people

HR documents are signed with qualified signatures, traceably.

Simple for the employee. Provable for the company.

The same process carries both an employment contract and a policy acknowledgement from start to finish.
